TERMS
Please make sure you understand the term policy before you rent a vacation property on VillaRentalHols (VRH) website.
1) BOOKINGS
Please check in each property details the READ MORE tab, for booking procedure.
Within option expiry date deposit is required in order to confirm the booking.
Upon receipt of full Balance payment you will receive your Accommodation Voucher together with arrival directions / check-in procedure.
Late Payments Where a payment date has been missed we retain the right to cancel the booking as per the cancellation policy with no refund of monies already paid and where costs exceed the monies already held then a bill will be sent to the client.
A late payment levy of £ 95.00 per person will be charged against any account that is late on payment dates.
2) PAYMENTS METHOD
Although a small (4%) service charge is applicable to credit card payments via PayPal ( account no required) , there is no such charge if you choose to pay by direct Wire Transfer within UK.
3) CANCELLATION and CURTAILMENTS by you
Once payment is received and a voucher (Booking Confirmation) issued, any amendments or cancellations will incur a penalty fees.
Each self-catering villa and apartment as well as B&B and hotel has its own specific cancellation fees - please check details of these on your preferred property before making a booking.
Bookings which run over special events or festival periods may incur higher cancellation penalties, according to principals’ charged to VRH.
If a cancellation is caused by force major, the client is liable for all expenses incurred on their behalf. All guests are strongly advised to take adequate travel insurance, which includes sufficient coverage in the event of a cancellation.
4) AMENDMENTS by you
If you wish to make any change to your holiday arrangements once they have been confirmed, VRH shall pass on your request to the accommodation owners, who will do their best to accommodate you. Any change is subject to availability, and also to payment of an administration fee of £ 40.00 and any associated costs of the change imposed by our suppliers.
There is likely to be a 100% cancellation charge if you wish to change holiday dates for villas.
5) INCLUDED IN THE COST OF THE RENTAL
Normal use of gas, electricity (unless otherwise mentioned), water facilities, a weekly change of bed linen, towels, tea towels.
A number of properties include air conditioning or Heating in the rental price but many do not. Firewood is usually extra too. Because fuel is pumped into Italy through an expensive grid system from neighbouring countries, heating is expensive and varies depending on the size of the property.
The cost of heating, if based upon usage (meter per hour or per kw.), must be paid directly on the spot to the owner or his/her representative before departing..
6) LETTING PERIOD AND PRICE
Most of the vacation villas or apartments, featured on VRH website, are rented on a weekly basis from Saturday to Saturday.
Published tariffs on VRH website are intended for a minimum stay of 7 nights.
If you wish to start your holiday on a different week day or require a letting period less than 7 nights, please make a specific request to VRH reservations staff who will endeavour to offer the best possible availability.
7) PROPERTIES DESCRIPTION
Most of the holiday villas / apartments VRH represent are privately owned and are therefore furnished and equipped to the individual tastes of each owner. Some of the houses are located in traditional villages, some on the outskirts and others in the countryside.
VRH staff has visited / inspected all villas, apartments and hotels featured in this website and every effort has been made to describe accommodation as accurately as possible. However changes do occur, sometimes at short notice and therefore VRH will advise you at the time of booking, or if after booking as soon as possible of any such changes to our published information
8) PROPERTY MAINTENANCE
While every effort is made to keep the facilities in line with those printed, VRH cannot accept responsibility for facilities which are temporarily not available, for example, electrical equipment may break down, redecoration and maintenance is necessary for the upkeep of the properties / hotels and may take place without prior warning and, while property owners/hoteliers and VRH local representatives will endeavour to keep inconvenience to a minimum, VRH cannot accept responsibility for any disturbance or inconvenience beyond their control, nor for accidents or losses in any property/hotel.
The owner or his representative should have, if necessary, free access to the property for essential external maintenance purposes (garden, swimming pool, etc.).
9) ARRIVAL AND DEPARTURE TIMES
The key-holder will expect arrivals on Saturday between 15.00 and 20.00 hours. If guest is going to be late, he must please contact us or the key-holder before 08.00 p.m. on arrival day and be advised of our LATE ARRIVAL FEE = € 55,00.
In order to give maximum time to prepare the property for future guests, guests will be asked to vacate the premises no later than 10.00 a.m. on departure day.
VRH will always try to arrange check-in and check-out times to suit the flight times but cannot guarantee times outside the normal.
A week before your holiday start, VRH recommend to inform the reservations support or your keyholder (via email or by phone) about your travel arrangements and with approx arrival time. This should help to have an easy check-in.
10) SECURITY / BREAKAGE DEPOSIT
A refundable deposit is payable on arrival at the vacation Villa / Apartment to the owner or key-holder. This protects against accidental breakages. Amounts vary, so the deposit for each accommodation will be indicated in the confirmation form. It may be paid in cash (any currency), or Travellers cheques and refunded before departure from Villa / apartment (subject to satisfactory property inspection).
VRH declines all responsibility in the event of a dispute between the holiday-maker and the owner regarding the deposit.
11) PARTY SIZE
Property owners reserve the right to refuse admittance if the number of persons arriving exceeds the number on the booking form or the maximum sleeping places as detailed in the relevant brochure/website description. Where a property offers a price for varying numbers, empty bedrooms will be closed. House parties, events, receptions are not allowed without owner authorization.
12) ILLNESS AND DISABILITY
If you or any member of your party suffer from a disability or other medical condition you must tell us before you book. VRH reservations team is happy to give you advice and to try to assist you in choosing a holiday that will meet your requirements.
13) TRAVELL INSURANCE
Travel insurance is a vital part of any holiday. It is a condition of your contract with VRH that you take insurance to cover the duration of your holiday.
Make sure that the Insurance policy will cover Medical Assistance and Trip Cancellation/Interruption.
Trip insurance shall be the sole remedy for reimbursement for any reason that tenancy is interrupted or not permitted.
14) ACCOMMODATION COSTS
On receipt of your booking confirmation and full pre-payment, VRH accepts responsibility for paying accommodation and transfer costs, VRH therefore cannot accept any responsibility for clients who pay directly to the hotels or drivers.
15) COMPLAINTS
In case of any problem or complaint it is imperative that VRH local representative is informed at the earliest possible moment in order to give the opportunity to rectify the situation as quickly and efficiently as possible. If the holiday-maker leaves the property without having contacted VRH before, will forfeit any right to an eventual refund of the letting cost. Any complaint, which cannot be resolved locally, must be notified in writing to Villa Rental Hols within 7 days of the end of the service provided. Failure to follow this procedure this may hinder the ability of the owner/hotelier and or VRH to rectify the complaint and reduce or extinguish any claim the client may have.
16) VRH RESPONSABILITY
In the unlikely event of a confirmed booking being amended or altered in any way by VRH, for any reason beyond its control, including force major, VRH will make every effort to find an alternative accommodation of a similar standard. If the alternative property price is less, the difference will be reimbursed to the client but if the alternative property price is higher, the difference will be charged to the holiday-maker. If, however, no agreement can be reached both contractual parties are authorized to cancel the contract. VRH will refund to the holiday-maker only the letting price he paid, any other kind of refund is excluded.
Compensation is in all cases limited to an entitlement to repayment of all monies paid to VRH
These booking conditions are the contractual terms governed by English Law and both parties shall submit to the jurisdiction of English courts at all times.
IMPORTANT INFORMATION
VOUCHERS AND JOINING INSTRUCTIONS
Once we have received full payment for the booking, all vouchers and joining instructions will be forwarded no less than 21 days prior to client’s arrival. Please check these carefully.
PASSPORTS, VISAS
British visitors to Italy require a full 10 year passport. Visitors whose documents are from outside the EC should contact the Italian Consulate for verification. If driving to Italy, please check with your car insurance company what may be required if passing through Switzerland.
CREDIT CARDS
As for any cases of theft, guests are advised to travel with very few credit cards. Credit Cards are widely accepted in cities but in rural villages cash is the norm.
CENTRAL HEATING, AIR CONDITIONING
A number of properties include central heating and air conditioning in the rental price but many do not. Firewood is usually extra too. Because fuel is pumped into Italy through an expensive grid system from neighbouring countries, heating is expensive and depending on the size of the property.
The cost of heating and or air conditioning, if based upon usage, must be paid directly on the spot to the owner, key holder or his/her representative before departing.
Wi-Fi BroadBand
If Internet is available, it will be specified in each property description. Type of Internet Connection :

The Internet service is provided by Telecom Italia, High speed and unlimited Broadband. - Mobile BroadBand Wi-Fi
The Internet service is provided by a Mobile server Company router and it has limited Broadband ( usually 7GB monthly ), adequate to browse websites, ( shopping online, online banking, social networks ) and check e-mails. Downloading movies, games, songs, or watching video in streaming is not permitted for high bandwidth consuming, and in this case when the GBs available are finished you will not be able to navigate.
If Internet is essential for your stay, we highly encourage you to contact us, to be sure that Wi-Fi is up to your expectations and avoid disappointment
WATER
Guests will often be asked to be sparing with water. There may be interruptions from time to time due to long dry periods. Most houses have drinking water but we always recommend visitors to a foreign country to drink bottled water. Occasionally, hot water installations, swimming pools, toilets, dishwashers and washing machines may need to be repaired. It may take time to engage maintenance people to obtain replacement parts, especially during high Season. Please remember, however, efficiency is not always as visitors might expect. Our representatives will always do what they can to rectify a problem as soon as possible.
FOOD DELIVERY
(delivered to the Villa prior to your arrival)
We recommend the welcome hamper service for guests arriving late evening or Sundays, when most of the grocery shops are closed. Our English speaking local agent in Italy provides a personal shopping service for food items which they deliver to the accommodation prior to your arrival. This is not a set welcome pack but is tailored to your individual requirements. You will need to pay in cash on arrival at the property. You will be charged the local price for the goods (a receipt will be given) plus a delivery charge .
BED LINEN & TOWELS
Bed linen and towels are provided and changed weekly. Unless otherwise mentioned on the property details, please ensure to bring your own swimming pool / beach towels.
BEDS & COTS
The properties within this website are all individually and privately owned so the standard of decoration and furnishings vary both in taste and quality. Regional standards vary too and may not always offer the comforts one would enjoy at home. Some Villas have furnishings of a very high standard but may lack carpets and armchairs which may not be looked upon as essential in the locality. (similarly, kettles, toasters, and teapots are looked upon as English peculiarities and not easy to purchase!). Sometimes too wardrobe space is not necessarily in the relevant bedroom. Wear and tear is unavoidable in letting and Owners may change furniture that has been damaged.

Vacation properties are often booked many months in advance and the property will be held for your use during your trip.
When the property is being held for you, it obviously cannot be rented to someone else. Therefore, you will need to make a full or partial payment upfront in order to hold the property.
Normally this is not a problem, BUT if you have to cancel your trip (especially the last minute), you should know that you may forfeit a portion or all of your rental fees.
There are ways to protect yourself however
- FIRST: Make sure you know what the cancellation policies are for the property you are renting.

If you have to cancel your vacation rental trip, are you eligible for a refund? It depends on the cancellation/refund policy of the property that you are renting and how much notice you are able to give.
